The Salt Spring Literacy Society has an immediate opening for a service-oriented, organized and collaborative part-time Administrative Assistant. This role provides reception service for the office and assists the staff, volunteers and board with a wide range of administrative support.
The ideal candidate has experience in an office environment and brings a detail-oriented mindset to the role along with a desire to help and support our diverse community.
Key Responsibilities include:
1. Administration
- Be the first point of contact for telephone, email and in-person requests
- Reviews and addresses phone and email messages as required
- Picks up and distributes mail
- Puts up posters and distributes flyers; delivers boxes of books
- Manages room bookings by volunteers and staff
- Keeps electronic files organized on our Sharepoint site
- Files paper documents
- Manages criminal record checks using online government system
- Maintains records in spreadsheets of computer lab users, tech learners, etc.
- Maintain membership records in Excel
- Update Salt Spring Literacy’s database app with learner information
- Provides administrative support to various programs, including creating Word templates, organizing information in Excel spreadsheets, printing documents, etc.
- Administers our Square terminal loan program
- Administers the tech tutor program, including scheduling appointments, advertising, and recruiting tech tutor volunteers
- Manages the drop-in computer lab
2. Communication and Social Media
- Designs posters, flyers, and ads
- Updates content of website (WordPress) as requested and ensures content is kept up to date
- Adds items to the Facebook page as directed
- Posts items on the Salt Spring Exchange as directed
- Creates ads for the Driftwood
- Manages printing of posters, flyers, bookmarks
- Assists with compilation of the newsletter
3. Financial Responsibilities
- Performs bank deposits
- Processes receipts for our bookkeeper and ensure all purchased items have receipts
- Purchases supplies
- Processing tax credit notes for donations
4. Book and Bling Sale Administration
- Participates on Books & Bling steering committee
- Creates ads, signs, and other graphics
- Participates in Preview Night activities
The rate of pay is $25–30, depending on experience. Work days are Tuesday–Friday, 12pm to 4pm.
